Job Summary

The Recruitment and Engagement Specialist provides administrative and operational support to the Human Resources function, reporting to the Associate Vice President of Human Resources. This highly collaborative role partners closely with HR team members and cross-functional departments to support a wide range of initiatives and may include administrative departmental duties as needed to ensure smooth day-to-day operations.

This role assists with day-to-day recruitment and onboarding activities, including maintaining the UKG recruiting module, supporting requisition setup and tracking, coordinating new hire onboarding, and ensuring onboarding tasks are completed efficiently. The Specialist also participates in job fairs and supports candidate experience throughout the hiring process.

In addition, this position supports compliance and HR operations by assisting with audit activities, coordinating temporary employee management, and serving as a key resource for staff engagement initiatives. This role is designed as a collaborative and supportive partner within HR, contributing to efficient processes, compliance, and a positive employee experience.

Responsibilities

  • Support the coordination and facilitation of new hire orientation sessions.
  • Assist with internal and external audit processes, including EEOC and SOX compliance activities.
  • Maintain and update the UKG recruiting module to ensure accuracy and efficiency in recruitment operations.
  • Assist with requisition setup, tracking, and management throughout the recruitment lifecycle.
  • Follow the full recruitment lifecycle, providing support from requisition intake through candidate selection and onboarding.
  • Partner with hiring managers to stay aligned to staffing needs, provide updates, and ensure a smooth recruitment process.
  • Assist managers in developing and refining job descriptions and establishing effective candidate screening and selection processes.
  • Coordinate onboarding activities, including badge photo processing and orientation coordination.
  • Manage and support temporary employee processes, including onboarding and assignment tracking.
    Provide day-to-day support for recruiting activities, including candidate coordination, communication, and process administration
  • Represent the organization at job fairs and recruiting events to support talent attraction efforts.
  • Serve as a point of contact for staff development activities, assisting with coordination and employee engagement initiatives.
  • Provide general administrative support for special projects, process improvements, and departmental initiatives

Qualifications

Knowledge & Skills

  • Basic knowledge of recruiting processes, onboarding, and HR compliance
  • Familiarity with applicant tracking systems (such as UKG) and general HR systems
  • Strong organizational skills with the ability to manage multiple tasks and priorities
  • Clear communication and interpersonal skills to work effectively with candidates, managers, and team members
  • Attention to detail, especially when handling data, audits, and recruitment tracking
  • Ability to support hiring managers with job descriptions and candidate screening processes
  • Ability to coordinate recruiting activities, onboarding, and employee engagement efforts
  • Professionalism and discretion when handling sensitive and confidential information
  • Ability to adapt, stay organized, and provide consistent support in a fast-paced environment
  • Ability to support departmental projects and assist with process coordination and follow-up on key tasks and deadline
  • Proficiency in Microsoft Office (Word, Excel. Outlook, PowerPoint) or similar tools to support administrative and reporting needs

Education

Associate’s degree in business or related field required. Bachelor’s degree preferred.

Experience

  • 1-3 years of experience in Human Resources, recruiting, or talent acquisition support
  • Experience with applicant tracking systems (ATS) (UKG preferred) or HR systems
  • Exposure to recruiting coordination, onboarding, or HR administration
  • Some familiarity with compliance processes is a plus, but not required

Required

Valid driver’s license, reliable transportation, and proof of automobile insurance.

Working Conditions

Normal office environment. Must be able to lift 5-15 Ibs.
